Choose sales development tools by workflow, data quality, follow-up controls and CRM access.

Choose sales development tools around the work your team must do reliably. A CRM holds account and contact records; prospecting tools help investigate people and companies; engagement tools organise follow-up. Start with a workflow gap, then decide whether a new tool would close it.

For CRM and sales-platform candidates, compare Salesforce Sales Cloud + Einstein, HubSpot Sales Hub, Zoho CRM, Freshsales by Freshworks and Pipedrive. Prospecting and lead-generation examples are Cognism, ZoomInfo, Apollo.io, Clay and Factors.ai; outreach and personalisation examples are Outreach.io, Salesloft, Lavender.ai, Lemlist and Reply.io.

For contact maintenance, Oliv AI’s CRM Manager is described as updating core, custom and qualification fields. Its Prospector is described as finding contacts in target accounts and tailoring and timing outreach. Treat these names as shortlist options, not a universal ranking.

Ask vendors for the licence model, seat count, contract term and price for the edition and connections you need. Compare the total commitment against the required capabilities before choosing.

Follow one account through the workflow

Trace account selection, ownership, contact research, permission to send, follow-up, replies and the final recorded decision. Note where information is missing, duplicated or difficult to correct.

For one representative account, assess whether the prospecting option supplies usable contacts, the engagement option supports the next step and replies, and the CRM option retains the final decision. Compare candidates against the same workflow rather than judging them by category labels alone.

A contact record does not establish that its subject wants contact. A sequence builder does not make an account relevant. Assess each capability against the decision it must support.

Check data before importing it

Name the field a representative needs: current employer, role, company activity or contact route. Ask how the provider obtains and checks that field, what date or freshness signal is available, and how a mistake can be corrected. Inspect records from the Australian account segment you serve, including missing and conflicting values. Keep uncertain claims out of authoritative CRM fields until reviewed.

APP 10 applies both when personal information is collected and when it is used or disclosed.

Include privacy obligations in tool requirements

The Office of the Australian Information Commissioner (OAIC) says an entity solicits personal information when it explicitly asks an individual or another entity to provide it, or takes active steps to collect it. APP 3 addresses when and how an APP entity may collect solicited information. An organisation may collect personal information only where it is reasonably necessary for its functions or activities; an agency may collect it where it is reasonably necessary for, or directly related to, its functions or activities.

Sensitive information may be collected only when the relevant conditions are met and the individual consents, unless an exception applies. Personal information must be collected by lawful and fair means, and from the individual concerned unless that is unreasonable or impracticable, subject to additional exceptions.

Make data scope a purchasing criterion, not just a question of whether a provider can supply more records. Specify which information the workflow needs and why, then assess whether planned collection is reasonably necessary for your organisation’s functions and activities. Broad availability alone is not a reason to collect a field.

For personal information covered by APP 10, reasonable steps are required to ensure information collected is accurate, up-to-date and complete. When it is used or disclosed, reasonable steps must also ensure it is accurate, up-to-date, complete and relevant for that purpose. The steps depend on circumstances, including sensitivity; the entity’s size, resources and business model; possible adverse consequences for an individual; and practicability, including time and cost.

For personal information an APP entity holds, APP 11 requires reasonable steps to protect it from misuse, interference and loss, and unauthorised access, modification or disclosure. Reasonable security steps include technical and organisational measures.

APP 11 also requires reasonable steps to destroy or de-identify personal information when it is no longer needed for a permitted purpose, except where it is part of a Commonwealth record or must be retained under Australian law or a court or tribunal order. Include information no longer needed in stack-level retention decisions.

Record the workflow gap, required capability, observed pilot result, unresolved limitation and decision owner. Hold a sending route or data connection if an essential stop or access control cannot be shown in the intended setup.
